About Role:

We are seeking an experienced Front Desk Administrative Assistant to assist with office administration. Your responsibilities will include document processing, database maintenance, and communication with both the public and internal stakeholders. Candidates must have excellent communication in English,ability to speak other languages such as French, Arabic and/or Russia is desired but not essential.

Responsibilities:

Here are the main things they will do:

  1. Directing calls, emails, and faxes to appropriate departments.
  2. Scheduling appointments, meetings, events, and managing packages.
  3. Monitoring office supply levels and placing orders as needed.
  4. Supporting with travel arrangements.
  5. Coordinating facilities and refreshments for events/meetings if necessary.
  6. Welcoming and assisting visitors, clients, and staff.
  7. Updating and maintaining office policies and procedures.
  8. Completing tasks/assignments independently.
  9. Gathering and organizing materials and information for projects or individuals.
  10. Conducting research for assigned projects or individuals.

Requirements:

Here are the qualifications and skills required:

  • At least 3 years of experience working within the Gulf in an Administrative role.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency in appointment scheduling and call forwarding systems.
  • Proficiency in MS Office (Word, Excel, PowerPoint, etc.).
  • Basic knowledge of Adobe Acrobat and Adobe Photoshop.
  • Punctuality and a positive attitude.

Preferred Requirements:

  • Academic Experience: Any additional/relevant experience in an academic or higher education setting would be a plus.
